MUSIC PUBLISHING PART 2: CATALOG & METADATA

In Acting, Audio, Behind the Scenes, Events, Film Business, Interviews by Jacob Pritchard

Creativity is only half of the battle. In Part 1 of this series, we discussed the mindset shift required to move from "musician" to "business owner." We explored the $7.3B publishing industry and the importance of master rights versus composition rights. Now, we move into the structural phase.

Successful songwriters are organized. They treat their music as a tangible asset. If your business infrastructure is weak, you will lose money. It is that simple. This guide outlines how to curate your catalog, master your metadata, and build a brand that professional publishers, like our sister company Cairo Music Publishing, actually want to sign.

CURATE YOUR BEST 10-20 SONGS

Do not try to pitch everything you have ever written. Quantity does not impress professionals. Quality wins every time. A publisher wants to see a focused "Best Of" collection. This shows you have a critical ear for your own work.

Select 10 to 20 songs that represent your absolute best writing. These should demonstrate your range while maintaining a consistent "sonic fingerprint." If you write in multiple genres, create separate folders for each. Your goal is to make it easy for a publisher to understand your value proposition immediately.

Ask yourself:

  • Does this song have a strong commercial hook?
  • Is the lyric relatable to a broad audience?
  • Is the demo high-quality enough to convey the vision?

THE POWER OF SPLIT SHEETS

You must document ownership before you leave the room. A split sheet is a simple document that identifies who wrote what percentage of a song. It is the most important piece of paper in your career. Without it, you cannot legally license your music or collect royalties.

Split sheets prevent lawsuits. They clear up "he-said, she-said" arguments six months after a session. Every split sheet must include:

  • The full legal names of all writers.
  • Their specific roles (Music, Lyrics, or both).
  • Their IPI/CAE number (assigned by your PRO like ASCAP or BMI).
  • Their Performance Rights Organization (PRO) affiliation.
  • The agreed-upon ownership percentage (totaling 100%).

Do not be afraid of the business conversation. Professional songwriters talk about splits at the start or end of every session. It is standard industry practice.

MASTERING METADATA: THE DIGITAL DNA

Metadata is the invisible data attached to your audio files. It tells the world who to pay. If your metadata is missing or incorrect, your royalties will sit in a "black box" and never reach your bank account. You must understand two specific codes: ISRC and ISWC.

ISRC (International Standard Recording Code)
This identifies a specific recording. If you have a radio edit, a remix, and an acoustic version of the same song, each one gets its own ISRC. This code tracks your "Master" royalties and digital sales.

ISWC (International Standard Musical Work Code)
This identifies the composition (lyrics and melody). No matter how many versions or covers are made, there is only one ISWC. This code tracks your "Publishing" royalties.

Your job is to ensure every ISRC is correctly mapped to your ISWC. Professional publishers use this mapping to claim your money from streaming services and broadcast networks.

ORGANIZING FOR PUBLISHERS

Professional publishers like Cairo Music Publishing receive thousands of submissions. They do not have time to dig through messy folders. You must present your work in a way that is ready for immediate use.

How to organize your submission:

  1. Cloud Storage: Use a dedicated folder on Dropbox or Google Drive.
  2. Naming Convention: Title – Artist – Tempo – Key (e.g., "Neon Lights – Jane Doe – 120BPM – Gmaj").
  3. Audio Formats: Include a high-quality WAV for production and a 320kbps MP3 for quick listening.
  4. Lyrics & Credits: Include a PDF with full lyrics and all metadata credits.

When your catalog is organized, you look like a partner, not a hobbyist. This professionalism significantly increases your chances of being signed.

BUILDING A PROFESSIONAL BRAND

Your brand is your reputation. In the digital age, a publisher will look at your online presence before they listen to your second song. They are looking for signs of growth and professional intent.

Your branding checklist:

  • Clean Website: A simple landing page with your bio, top tracks, and contact info.
  • Consistent Socials: Use the same profile picture and handle across all platforms.
  • Artist Persona: What is your story? Why should people care about your songs?

A cohesive brand shows that you are already doing the work. It proves you understand that music is a business. It makes you a lower-risk investment for a publisher or label.

RECORDING PROFESSIONAL DEMOS AT SPOKANE PRODUCTIONS

Your songs need to sound like the hits they are meant to be. A rough voice memo is rarely enough to secure a publishing deal. You need professional demos that showcase the structure, melody, and emotion of your writing.
